Privacy Policy
This Privacy Policy explains how TavolaWest.com (the “Site”) collects, uses, shares, and protects information. The Site is an independent, homeowner-created community resource operated by M.S.J. & K Inc. (“we,” “us,” or “our”). It is not the official website of the Tavola West HOA, the Tavola West Community Association, Inframark, or any HOA management company. By using the Site or providing information to us, you agree to this Policy.
Information we collect
Information you provide. We collect any information you choose to enter or submit anywhere on the Site, which may include:
- Pool Access requests — homeowner/renter name, property address, phone, email, household member names and ages, residency status, digital signature, and any documents you upload.
- Contact and message forms — your name, email, phone, and the content of your message.
- Event suggestions and other submissions — your name, email, and the details you provide.
- Subscriptions and preferences — email and/or phone number for community or marketing updates, and your delivery preferences (such as how often you wish to be contacted).
- Business / advertiser listings — business name, contact details, descriptions, logos, links, and related materials.
- User-generated content — reviews, ratings, comments, photos, files, survey responses, and anything else you post or upload.
- Account and login information — if accounts are offered, your sign-in details and profile information.
- Payment and billing information — if paid services are offered, billing details (typically processed by a third-party payment processor).
- Any other information you choose to provide.
We store the information you provide — including your email address, phone number, and any other details — in our administrative systems and with the service providers described below, so we can operate the Site, respond to you, and provide the communications and services you request.
Information collected automatically. When you use the Site, we may collect technical and usage information such as device and browser type, operating system, general (e.g., city/region-level) location, pages and content viewed, links clicked, referring and exit pages, and date/time stamps. We may collect this through cookies, web beacons, pixels, local storage, log files, analytics, and similar technologies (see “Cookies and tracking technologies” below).
Information from other sources. We may receive information from third parties, including publicly available records (for example, property and address records used for community mailings), advertising and marketing partners, analytics providers, and social media platforms if you interact with us there.
How we use your information
We may use the information we collect to:
- Process and forward Pool Access requests to the community association and/or its management company (Inframark).
- Operate, maintain, secure, and improve the Site and its features.
- Respond to your questions, messages, and requests.
- Send community news, neighborhood updates, announcements, events, local deals, real estate information, and other marketing or informational communications by email, text message, telephone, and/or mail, where permitted and where you have not opted out.
- Personalize content and advertising, and measure the performance of content, advertising, and campaigns.
- Display, promote, and manage advertiser and business listings.
- Conduct analytics and research, including creating aggregated or de-identified data, and develop new products and services.
- Detect, prevent, and address fraud, abuse, and security issues.
- Comply with legal obligations and enforce our terms and rights.
Cookies and tracking technologies
We may use cookies, web beacons, pixels, local storage, and similar technologies to operate the Site, remember preferences, measure usage, and — now or in the future — support analytics and advertising (including measurement and retargeting). Today the Site uses a privacy-friendly, cookieless analytics provider (Plausible Analytics) for aggregate, anonymous usage and does not use advertising trackers; we reserve the right to use additional cookies or tracking technologies and will update this Policy accordingly. You can control cookies through your browser settings, though some features may not work without them.
How we share your information
We may share information:
- With the Tavola West Community Association, Inframark, and their affiliates, partners, vendors, and service providers to provide the services described above.
- With service providers that operate the Site on our behalf — for example, website hosting and data storage, email and text-message delivery, calendar services, payment processing, and analytics.
- With advertising, marketing, and business partners, and with advertisers featured on the Site.
- In aggregated or de-identified form that does not reasonably identify you.
- In connection with a business transfer, such as a merger, acquisition, financing, or sale of assets.
- When required by law, legal process, or to protect the rights, safety, or property of you, us, or others.
We do not sell your individual contact list to advertisers. To the extent any sharing is considered a “sale” or “sharing” for “targeted advertising” under applicable law, you may opt out as described under “Your privacy rights and choices.”
Marketing and communications
With your consent where required, we may contact you by email, text message (SMS), telephone, and mail. You can opt out of marketing at any time: use the unsubscribe link in any email, reply STOP to a text message, or submit a request on our Contact page. Every marketing email includes an unsubscribe link and our mailing address. Standard message and data rates may apply to text messages. Opting out of marketing does not affect transactional messages (such as confirmations) or the processing of a Pool Access request you have submitted.
User-generated content
Content you post publicly — such as reviews, ratings, comments, or event suggestions — may be visible to others and may be displayed, reproduced, and used by us in connection with the Site. Please do not include information you do not want to be public.
Your privacy rights and choices
Depending on your state of residence (including under the Texas Data Privacy and Security Act and similar laws in other states), you may have the right to access, correct, delete, or obtain a copy of the personal information we hold about you, and to opt out of the sale or sharing of your information and of targeted advertising. You may exercise these rights — or appeal a decision — by contacting us through the Contact page. We will verify your request as required by law, and you may use an authorized agent where permitted. We will not discriminate against you for exercising your rights.
Data retention
We retain information for as long as needed to provide the Site and services, to fulfill the purposes described in this Policy, and to comply with our legal obligations, resolve disputes, and enforce our agreements, after which we delete or de-identify it.
Security
We use reasonable administrative, technical, and physical measures to protect information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Children’s information
The Site is intended for adults and is not directed to children under 13. Pool Access requests may include the names and ages of household members, including minors, solely to administer amenity access; we do not knowingly collect information from or market to children.
Third-party links and services
The Site may link to or feature third-party websites, businesses, and advertisers, and may use third-party services. We are not responsible for the privacy practices or content of those third parties, and their own policies govern your use of them.
Do Not Track
Some browsers offer a “Do Not Track” signal. Because there is no common industry standard for responding to these signals, the Site does not currently respond to them.
Where we operate
We operate in the United States, and your information is processed and stored in the United States. If you access the Site from elsewhere, you understand your information will be handled in the United States.
Changes to this policy
We may update this Privacy Policy from time to time. Changes are effective when posted, and the effective date above will be updated. Your continued use of the Site after changes are posted means you accept the updated Policy.
